NFC ID Scanner Privacy Policy

Effective September 27, 2026

Global Generation Co., Ltd. (株式会社世界時代, "we") provides the NFC ID Scanner iOS app (the "App") and the web service the App connects to (the "Service"). This policy explains what information they handle, how it is used, and the choices available to you.

1. Our role

The App is used by the staff of schools and organizations that use the Service (each an "Organization"). The Organization decides what information is kept in its site and who can access it. We handle that information on the Organization's behalf and follow its instructions.

If you are a student, parent or staff member whose ID card is scanned, please contact your Organization about your information. We will help the Organization respond.

2. Information stored only on your device

The App keeps the following on your device and does not send it to us:

• Site addresses you save, and which site opens at launch

• Kiosk settings: the profile number, a registered admin card number, and your kiosk PIN, which is stored only as a one-way hash in the iOS keychain

• Preferences for the camera, scanner layout and card reader

• Your sign-in session and website data for your Organization's site, which you can clear at any time with Flush Cache

3. Camera and Bluetooth

• Camera: used only to read QR codes. Images are processed on the device and are never recorded, stored or sent. Only the contents of the code are sent to your Organization's site.

• Bluetooth: used only to connect to a supported NFC card reader. The App reads the card's number (UID) or ID data stored on the card and sends it to your Organization's site.

• The App does not use the microphone, location or contacts. It accesses photos only when you choose one to upload to your Organization's site.

4. Information held in the Service

The Service holds the following on behalf of the Organization:

• Account information: username, display name, password (stored only as a hash), role and profile access, language setting, and optionally a profile photo and a registered ID card number

• People records provided by the Organization: names and preferred names, ID numbers (such as student or employee numbers), grade, role, photos and ID card numbers. The Organization may import these from its own systems, such as its student information system (for example, Veracross).

• Check-in records: the card or code scanned, the person matched, the result, the date and time, where it happened (the scan profile, such as a lunch line) and the account that scanned it

• Session information: when scanning sessions start and end, and the type of device and browser used (user agent)

• Billing records, if the Organization uses billing: meal charges calculated from check-ins, rates, and payment status and notes

• Change history: which administrator changed what, and when, for security and accountability

• Technical information: IP addresses are used briefly to protect sign-in against repeated failed attempts and are not stored in the Service's database. Our hosting and network providers may keep standard access logs for security.

5. How we use information

• To provide the Service to the Organization: identifying people when their cards are scanned, recording check-ins, attendance and meal billing, and showing results on screen

• To keep accounts secure and control access

• To answer questions and provide support

• To maintain, troubleshoot and improve the Service

We do not sell personal information, use it for advertising, or track you across other companies' apps and websites. The App contains no advertising or analytics software.

6. Sharing

We do not give personal information to third parties without consent, except:

• Within your Organization: users the Organization authorizes can see and use information according to their role and assigned profiles.

• Service providers: hosting and network providers, including Cloudflare, Inc. (United States), handle information for us only as needed to run the Service. They may process information outside Japan.

• Connections the Organization sets up: when the Organization connects its own systems, information is exchanged as it instructs.

• Legal requirements: when required by law.

7. Apple services

• Update check: the App asks the App Store whether a newer version is available. This sends the App's ID and your device's region, and no personal information.

• If you have turned on Share With App Developers in iOS settings, Apple may give us crash reports and usage statistics that do not identify you.

8. Keeping and deleting information

• The Organization can edit or delete people records, check-in records and accounts. We keep the Organization's information while it uses the Service. When it stops, we delete the information within a reasonable period, or return it on request, unless the law requires us to keep it.

• Accounts are created and deleted by the Organization's administrators. To delete your account, contact your administrator or us.

• You can erase the information stored on your device with Flush Cache, by removing saved sites, or by deleting the App.

9. Security

• Connections between the App and the Service are encrypted (HTTPS).

• Passwords are stored as hashes, and kiosk PINs are stored on the device as hashes.

• Each Organization's information is kept in its own separate site and database.

• Access is limited by role and by the profiles assigned to each account.

No system is completely secure. If a security incident affects personal information, we will notify the Organization and the authorities as required by law.

10. Children

The App is intended for staff and is not directed to children. Organizations may keep information about students, including children, in the Service, and are responsible for obtaining any consent required from students or parents. Parents should contact their school with questions.

11. Your requests

For information your Organization has entered, please contact your Organization first. For information we hold for our own purposes, such as support emails, you can ask us to disclose, correct, delete or stop using it. We will verify your identity and respond in accordance with applicable law, including Japan's Act on the Protection of Personal Information.

12. Changes to this policy

We may update this policy. The new version takes effect when it is posted on this page. We will announce significant changes through the App or your Organization.

This policy is also available in Japanese. If the two versions differ, the Japanese version prevails.
